Resources

Keep files and links in a library, organise them in folders, and share them into each client’s app.

Resources overview

Resources are the guides, PDFs, videos and links you want your clients to have at hand. Instead of sending files in a chat that scrolls away, you upload them once and share them straight into the client’s app.

You work with resources in two places:

  • Resources in the sidebar, under Library: your workspace’s library of files and links, organised in folders
  • The Resources tab on a client’s profile: the files and links shared with that client

From these two places you can:

  • Upload files such as PDFs, documents, spreadsheets, images, videos and audio
  • Add links to videos, articles or any other web page
  • Organise your library in folders
  • Add a resource for one client only
  • Import resources from your library into a client’s resources
  • Edit, replace and delete resources

Clients find everything you share in the Vault on the Home screen of the client app.

Only the workspace owner and admins can add, edit, move or delete resources and folders in the library. Every coach can add, import, edit and delete resources on the profiles of the clients they work with. See Team.

Resource types

Every resource is either a file or a link:

TypeWhat it isExamples
FileA document uploaded from your computer, on the Upload File tabPDF guides, text documents, spreadsheets, presentations, images, videos, audio
LinkA web address, on the Add Link tabVideos, articles, shared documents, any web page

Your resource list has a Type column that labels each resource by what it contains, for example PDF, IMAGE, VIDEO, AUDIO or LINK, so you can tell your resources apart at a glance.

Uploading a file

  1. Open Resources in the sidebar, or open a client’s profile and go to the Resources tab
  2. Click + New Resource
  3. Keep the Upload File tab selected
  4. Enter a Resource Name
  5. Optionally click the Cover Image tile next to the name to add a cover picture
  6. Under Upload Document, click Click to Upload and choose the file
  7. Click Add Resource

Each upload can be up to 10 MB, cover image included. Any file type can be uploaded. Cover images are resized and compressed automatically.

For a long video, upload it to a video site and add it here as a link instead of a file.

  1. Open Resources in the sidebar, or a client’s Resources tab
  2. Click + New Resource
  3. Switch to the Add Link tab
  4. Paste the address into Resource URL
  5. Enter a Resource Name
  6. Optionally add a Cover Image
  7. Click Add Resource

The address must start with http:// or https://. A resource name can be up to 255 characters.

Organising your library with folders

Folders keep your library tidy. They exist only in the library: a client’s Resources tab is a single list.

Creating a folder

  1. On the Resources page, click + New Folder
  2. Enter a Folder name, for example “Onboarding”
  3. Click Save

Click a folder’s row to open or close it and see what is inside.

Moving a resource into a folder

New resources are added at the top level of your library. To file one away:

  1. Open the resource’s three-dot menu and click Move
  2. Choose the Destination folder, or Root to move it back to the top level
  3. Click Move

Renaming or deleting a folder

  • Rename: open the folder’s three-dot menu, click Rename, change the Folder name and click Save
  • Delete: open the folder’s three-dot menu, click Delete and confirm

A folder can only be deleted when it is empty. Move or delete the resources inside it first.

Sharing resources with clients

There are two ways to get a resource to a client.

Adding a resource for one client

  1. Open Clients in the sidebar and open the client’s profile
  2. Go to the Resources tab
  3. Click + New Resource
  4. Upload a file on the Upload File tab or add a link on the Add Link tab, as described above
  5. Click Add Resource

The resource is added for this client only and does not appear in your library.

Importing from your library

  1. Open the client’s Resources tab
  2. Click + New Resource
  3. Switch to the Resource Library tab
  4. Tick the resources you want to share. Click a folder to open it, or use the checkbox in the header to select everything
  5. Click Import Resource

Each selected resource is copied into the client’s resources, and the originals stay in your library.

Either way, the client gets a “New resource” notification for every resource, and tapping it opens the Vault in their app. Each share also appears in the Activity Log on the client’s Overview tab.

Build a master set of resources in your library once, then import it for each new client in a few clicks.

Every client gets their own copy. Editing or deleting the original in your library later does not change or remove copies you have already shared.

Editing a resource

  1. Find the resource in your library or on the client’s Resources tab and open its three-dot menu
  2. Click Edit
  3. Change the Resource Name, the Resource URL of a link, or click the cover tile to choose a new cover image
  4. For a file, Current file shows its type and size, with Open to view it. To upload a new version, click Click to Replace under Replace Document
  5. Click Save Changes

To open a resource yourself, click its row: links and files open in a new browser tab, and images open in a preview.

A resource cannot switch between file and link. To change its type, delete it and add it again.

Deleting a resource

  1. Open the resource’s three-dot menu
  2. Click Delete
  3. Confirm with Delete

Deleting a resource from a client’s Resources tab removes it from that client’s Vault. Deleting it from your library removes it from the library only; copies already shared with clients stay.

Deleting a resource cannot be undone.

Viewing resources in the client app

Clients find their resources on the Home screen of the client app on iPhone and Android:

  • The Resources card shows the Vault with the number of resources, for example “5 resources”
  • Tapping Vault opens the Vault sheet: “Files and links assigned by your coach.” Each resource shows its cover image or an icon, its name, and whether it is a Link or a File
  • Tapping a link or a file opens it in the browser. Images open full screen inside the app
  • Until you share something, the Vault says “Your coach hasn’t added any resources yet.”

When you share something new, the client gets a “New resource” notification, and tapping it opens the Vault. Clients can view resources but cannot add, change or delete them.

Frequently asked questions

Can clients upload their own resources?
No. Only coaches add files and links. Clients view what you share in the Vault in their app.
Can I share the same resource with many clients?
Yes. Keep it in your library and import it on each client’s Resources tab. Every client gets their own copy.
What happens to shared copies when I edit or delete a library resource?
Nothing. Copies already shared with clients keep their name, link and file. Edit or delete them on each client’s Resources tab.
Is there a file size limit?
Yes. Each upload can be up to 10 MB, including the cover image. For larger videos, upload them to a video site and add the link as a resource.
Which file types can I upload?
Any file type. Fitora labels common ones, such as PDFs, images, videos and audio, in the Type column of your resource list.
Why can’t my client see a resource I added?
Resources in your library are not visible to clients until you share them. Check that the resource is on the client’s Resources tab, then ask the client to pull down on the Home screen to refresh.
Why can’t I delete a folder?
Only empty folders can be deleted. Move or delete the resources inside it first.
Why can’t I add resources to the library?
Only the workspace owner and admins can change the library. Standard coaches can still add and import resources on the profiles of their clients.
