Tasks overview

Tasks is a to-do list for you and your team, found in the coach app’s sidebar under Main. Use it for jobs like “Review Ana’s check-in” or “Update Marko’s meal plan”. Tasks belong to the workspace you are in, and clients never see them.

The list is one table with the columns Task, Due Date and, for the workspace owner, Assigned To. It is split into up to three groups; a group with no tasks is hidden.

GroupWhat it holds
UpcomingOpen tasks with a due date, ordered by due date
No due dateOpen tasks without a due date
CompletedTasks you have ticked off, whatever their due date

The number next to Tasks in the sidebar counts your open tasks that have a due date (the Upcoming group), whatever the page is searching or filtering.

Creating a task

  1. Open Tasks in the sidebar
  2. Click + Add Task in the top-right corner (or Add Task when the page is empty)
  3. Describe the task in Task (required, up to 500 characters)
  4. If you are the workspace owner, choose a coach in Assign To, or leave it on Unassigned
  5. Optionally pick a Due Date
  6. Click Add Task

A Task created message confirms it, and the task appears in its group.

Only the workspace owner sees Assign To. Tasks created by an admin or a standard coach are assigned to that coach automatically.

Working alone? Under Assign To you see No team members found. with an Add your first team member link to the Team page.

Due dates

The Due Date column tells you how far off each deadline is, counted from today in your own timezone:

ShownWhenColour
Due todayThe task is due todayGrey
Due tomorrowThe task is due tomorrowAmber
Due in 3 daysWithin the next seven daysAmber
Due in 10 daysMore than a week awayGrey
Due 2 days agoThe due date has passedRed
03 Oct 2026The task is completed (the date itself is shown)Light grey

Longer spans read in months or years, such as Due in 2 months.

Completing a task

Click the circle at the start of a task’s row to mark it complete. The circle becomes a check mark, the title turns grey, and the task moves to Completed. Click the check mark again to reopen the task; it goes back to Upcoming or No due date.

Editing a task

  1. Click anywhere on the task’s row except the circle
  2. In Update Task, change the Task text, the Due Date or, as the owner, Assign To
  3. Click Update Task

A Task updated message confirms your changes.

Deleting a task

  1. Click the task’s row to open Update Task
  2. Click Delete
  3. Confirm with Delete

Deleting a task is permanent. To keep a record of finished work, mark the task complete instead.

Searching, sorting and filtering

Type in Search tasks to show only the tasks whose text contains your words. The button next to the search shows how many tasks are listed, for example 5 Tasks; click it to sort and filter:

  • Sort by: Latest Task (the default) lists the Upcoming tasks from the nearest due date, Oldest Task from the furthest.
  • Assigned to (owner only): shows the tasks of one or more coaches, or the tasks nobody holds (Unassigned).
  • Clear filters: resets the search, the sort order and the coach filter.

Assigning tasks to your team

Only the workspace owner hands tasks to other coaches. The owner can assign a task to any coach in the workspace, to themself, or to nobody, and can reassign it later by editing the task.

RoleWhat they seeAssigning
OwnerEvery task in the workspace, including unassigned ones, with the Assigned To column and filterAny coach in the workspace, or Unassigned
Admin and StandardOnly the tasks assigned to themTheir tasks are always assigned to themselves

Coaches can edit, complete and delete every task they can see.

When the owner removes a coach from the workspace, that coach’s tasks stay in the workspace, unassigned, ready to be handed to someone else.

The owner invites coaches from the Team page; see Team.

Frequently asked questions

Can clients see tasks?
No. Tasks are for coaches only and never appear in the client app.
Can I assign a task to a client?
Tasks are for coaches only. To give a client something to do, assign them a habit or a check-in instead.
Why can’t I assign tasks to other coaches?
Only the workspace owner can. Admins and standard coaches create tasks for themselves.
Who sees the tasks I create for myself?
If you are an admin or a standard coach, you and the workspace owner. The owner sees every task in the workspace.
Do coaches get a notification when I assign them a task?
No. They see the task in their Tasks list and, if it has a due date, in the number next to Tasks in the sidebar.
Is there a limit on how many tasks I can create?
No.
What happens to tasks when a coach is removed?
They stay in the workspace without an assignee, and the owner can assign them to another coach.
What does the number next to Tasks in the sidebar mean?
How many open tasks with a due date you can see, whatever the page is searching or filtering.
